Spool File and F4-Select Sorting in Datafile

Spool Files

Each User-ID in Datafile can save up to 256 print files to their spooler. When this limit is reached, the message "Maximum Number of Print Ffiles Reached" is displayed. The only solutions to this are to delete some of the earlier saved print files or to create a new user sign-on to enable another 256 files. Deleting the spool files is the easier option but this can create gaps in the spool file list so that the next file to be sent to the spooler may appear at a random point - wherever the first free slot is located. This means that the user may have to search through the whole list to find the latest spool file.

As of release 5.4 there is a facility in Datafile to sort the spool files into either, entry number order (the default), date order, in order of the number of pages, in system, title or company ID order.

The sorting by date is especially useful as the latest spool files will appear at the top of the list instead of where the first deleted file was. To achieve this, or to sort by any of the other columns you simply right-click on the relevant column title. This brings up a pop-up box with sorting and searching options.

 

F4-Select

When selecting a record to update or view in Datafile, you have the option to use the F4-Select key (or click on the question-mark) to bring up a list of records, along with the columns of the database configured in the installation.

To sort the records by any of the column headings on the screen you simply click on the column heading. This gives an ascending sequence, and clicking again gives a descending sequence.
